Basic steps:
- Stamp title page with Medaille College Library stamp.
- Place security sticker on inside back cover or wherever the pocket will be placed.
- Match up spine labels with items according to call number on title page (or on item for AV materials) and place them on items.
- Place any additional stickers near spine labels for Child Lit Easy, Reference, Young Adult, etc.
- Place call number/title labels on book pockets and place over security stickers on items.
· Cover spine label & barcode with appropriate label protectors.
· Check-in items in the circulation module at front desk.
Processing details:
All books should be processed using the following basic steps and then processed further if they are reference, children’s easy reading, or other special collections.
Books-Paperback
Note: most books do not need any additional covering. If the cover is determined to be fragile, worn or is expected to have a very high circulation, the book may be covered.
1) Compare call number on spine label with call number on the title page.
2) If most of call number would be visible, place spine label on lower spine of book, as show below left. If not, place spine label on lower left-hand corner of the front cover, as shown below right. If the book is to be covered, do not cover spine label and barcode with label protectors.
Note: if book gets additional stickers on the spine label, e.g. for Reference, oversize, young adult, or EZ reader, see below for processing details)
If it is not to be covered, cover spine label and barcode with the appropriate size label protectors, wrapping the spine protector over the spine and extending it on both front and back covers. Use another, smaller protector over the barcode located on the upper right hand side of the back cover. Use a squeegee or bone folder to smooth out any air bubbles and secure to the cover/spine.
3) Place the corresponding book label on a book pocket, above the words “Medaille College Library.”
4) Place a security sticker on inside back cover of the book, where the pocket will be placed, about 2/3 of the way down the page.
5) Place pocket over the security sticker.
6) Stamp title page with Library ID stamp.
If covering the books:
Laminate:

Step 1
Lay the open paperback on Laminate and cut to size, leaving approximately 1" around the edges. Remove the liner paper by peeling away from the split. Lay the laminate on a flat surface, adhesive side up.

Step 2
Center the spine of the book on the laminate. Roll the book first to one side of the laminate and then the other. Smooth gently with a bone folder to eliminate air bubbles.

Step 3
Cut away the corners of the laminate at a 45° angle. Also slit the laminate at the corners of the spine at a 45° angle.

Step 4
Fold the overlapping laminate around the book edge and secure to inside of the covers. Trim off the remaining center tabs at the spine.

Books-Hardcover (Dust Jacket)
For books with a dust jacket that needs to be retained, use the Brodart book jacket roll that is just larger than the height of the book.
Additional Processing for Special Collections
Books-Children’s Easy Lit
- Label reads “Child Lit E”. These get an “EZ Reading” sticker on spine or front cover, near spine label as appropriate.
Books-Children’s Young Adult
- Label reads “YA”. These get a “young adult” sticker on spine or front cover, near spine label as appropriate.
Books-Children’s Award Winners
- Books that have won the Newberry or Caldecott award get the appropriate sticker on the spine or front cover, near the spine label.
Books-Children’s Literature Biography
- Label reads “Child Lit B”. These get a yellow dot above spine label.
Books-Reference
- Place yellow “R” sticker above or below spine label as appropriate before it is covered with either spine label protector or book laminate.
- Place stickers reading “For Reference, not to be taken from the room” on the book pocket, above the opening for the date card.
Books-Special Collections (Theodore Roosevelt Collection)
- Books from this collection get a T.R.C. sticker on the spine above the spine label.
Books-Oversize
- Label has “OVERSIZE” on the last line. These get a yellow 'Oversize' sticker above or below the spine label.
Curricula
- The call number will begin with “MATH” “READING” “THEMATIC” “BRAILLE” etc. Curriculum books simply get a spine label, usually on the front cover and a book pocket. The book pocket should get stamped with “4 Day Loan” above where the card is inserted into the pocket.
A/V-Video/DVD
Visual materials, whether VHS tape or DVD will be labeled “VIDEO.” Tapes will be kept in their original cases and DVD’s should be fitted with a security strap.
- Remove cover from the original tape or DVD case and put spine label in the appropriate spot. If cover cannot be removed, simply put the spine label on the spine of the case and cover with a label protector.
- Place date card pocket inside case.
- Place barcode on back of case, on the upper right-hand side.
A/V-CD-ROM (Audio)
Cassette tapes and audio DVD’s are labeled “AUDIO.” Cassette tapes can be kept in their original cases. CD-ROMS should be transferred to a security case and processed as above.
A/V-CD-ROM (Computer)
Computer discs are labeled “CD-ROM.” If they are accompanied by booklets or other explanatory materials, they should be kept together in a plastic zip-lock bag.
A/V-Kit
Kits should have call number written on each individual component and spine label should note how many pieces are contained within the kit. Each piece should be numbered (1 of 7, 3 of 4, etc.) Kits are stored in a media bag and shelved on the kit rack.
